How do I verify my account as an incorporated partnership (GbR or Grundstücksgemeinschaften)?

Important: This process can only be completed by the host (the primary holder on Holidu).

We'll guide you step by step through the verification process for your incorporated partnership. The process is secure, and you'll provide your information in a protected online environment.

Understanding: Incorporated vs. Unincorporated Partnerships

⚠️ Important: Know the difference

An incorporated partnership (such as GbR or Grundstücksgemeinschaften in Germany) IS registered in a trade/commercial register and is recognized as a separate legal entity or partnership structure.

A GbR (Gesellschaft bürgerlichen Rechts) is a civil law partnership commonly used in Germany for joint ownership or business ventures.

A Grundstücksgemeinschaft is a property community under German law, typically formed when multiple parties jointly own real estate.

Rule of thumb: If your partnership has a Handelsregisternummer (DE), is registered with local authorities, or has official documentation establishing it as a partnership entity → you are an Incorporated Partnership.

Supported Countries and Partnership Types

Incorporated partnerships including GbR and Grundstücksgemeinschaften are supported in the following countries:

  • Germany — GbR, Grundstücksgemeinschaft, KG, OHG
  • France — SARL, EIRL, and registered partnerships
  • Spain — Sociedad Limitada and registered partnerships
  • Switzerland — GmbH, AG, and registered partnerships
  • Austria — GmbH, Gesellschaft, and registered partnerships
  • United Kingdom — Limited Partnership, LLP

Before You Start: Have These Documents Ready

  • Partnership agreement or articles of association
  • ID documents of all legal representatives (passport, national ID card, or driver's license)
  • Tax ID document showing the partnership's tax registration
  • Bank statement or proof of business account

Step 1: Verify Your Partnership Details

1a. Log in to Your Holidu Account

  • Log in and navigate to the 'Account' tab
  • Click 'Validate' to start the verification process

1b. Enter Incorporated Partnership Information

  • Select Organization as your account type
  • Choose Incorporated Partnership as your company type
  • Enter your partnership name exactly as it appears in official documents (e.g., "GbR Mueller & Schmidt")
  • Provide your business registration number or trade register entry number
  • Enter the partnership's registered address

1c. Identify the Primary Representative

The person who will sign the verification agreement with Holidu must:

  • Be listed in the official partnership documents as an authorized representative or partner
  • Complete identity verification through Onfido
  • Have their details pre-filled or manually entered

1d. Add All Partnership Members

Important: You must list all partners, legal representatives, or persons with significant ownership/control (typically over 25%).

  • Click 'Add another partner' for each additional member
  • For each partner, provide:
    • Full name and date of birth
    • Address and nationality
    • Ownership percentage (if applicable)
    • Role within the partnership
  • Repeat until all partners are added

1e. Verify Identity of All Partnership Members

Each partner or authorized representative must complete identity verification:

Instant Verification (Recommended):

  • Select the country of document issuance and document type (passport, driving license, or national ID card)
  • Scan the QR code with your phone
  • Take clear photos of the front and back of your document
  • Verification is typically completed immediately

Manual Upload:

  • Choose the document type
  • Upload high-quality photos of both sides of your ID document
  • Click 'Next' to submit
  • This method can take up to 72 hours for verification

Step 2: Upload Required Documents

Business Registration Certificate (Required)

Upload an official document proving your partnership is registered. For German partnerships, this typically includes:

  • Handelsregisterauszug (extract from trade register) — current or from within the last 6 months
  • GbR Registration Certificate — if available from local authorities
  • Gewerbe Anmeldung (trade registration form) — all pages including signature page
  • Tax Registration Certificate (Bescheinigung über die Erfassung als Steuerpflichtiger)

For other partnership types (Grundstücksgemeinschaft, KG, OHG), provide the equivalent registration documentation.

Partnership Agreement or Articles of Association (Required)

Upload a copy of your partnership agreement or constitution. This document must:

  • Include the names of all partners
  • Show the partnership structure, roles, and responsibilities
  • Detail profit distribution or ownership percentages
  • Be signed by all partners or notarized (if required by local law)
  • Be up-to-date and accurate

Tax Document (If Required)

Upload a recent tax document issued by your country's tax authority showing:

  • The partnership's registered name
  • Tax identification number
  • Issued date within the last 12 months

Tip: Ensure all documents are clear, well-lit, and fully legible. Blurry or partially obscured documents may delay verification.

Step 3: Verify Your Payout Details

The bank account used for payouts must meet these requirements:

  • The account holder's name must match your partnership name exactly, OR
  • The account must be a business account held in the partnership's name
  • The account must be in the same name as your registered partnership
  • For non-EU residents, ensure the bank location is documented

Frequently Asked Questions

What if my partnership doesn't have a formal trade register entry?

If your GbR or Grundstücksgemeinschaft is not formally registered in the trade register, you must provide alternative documentation proving the partnership exists, such as a notarized partnership agreement, property deed, or other official documentation from local authorities.

Can a non-partner verify the account?

No. Only an authorized partner or legal representative listed in the official partnership documents can complete the verification process.

What if documents are in a language other than English?

Submit documents in their original language. If our verification team requires translation, we will notify you. You may need to provide certified translations for certain documents.

How long does the entire process take?

Typically 2-7 business days if you use instant verification for both identity and bank details. Manual verification can extend this to 14 days or more, depending on document review.

What happens if my verification is rejected?

If verification is rejected, you'll receive an email explaining the reason. Common issues include unclear documents, mismatched information, or missing details. You can resubmit with corrected information.

Can I change partnership details after verification?

Major changes (such as adding or removing partners) may require re-verification. Contact our support team for guidance on updating your partnership information.
